5 Things I Do For Work Now That Claude/ChatGPT Has FULL Access to My Email, Calendar, and Drive

A few months ago, I spent 30 minutes doing something that should have taken 5 minutes.

A client emailed asking for a project update. Simple request. But to give them a proper answer, I had to:

  • Dig through 3 weeks of email threads to remember context

  • Check my project tracking spreadsheet for current status

  • Look at my calendar to see when we last met

  • Draft a response that didn't sound like I forgot what we were working on

This is the daily reality of real work - information scattered across tools, context switching eating your mental energy.

What if AI could eliminate this entirely?

The most exciting thing about AI for me isn't whether models get smarter. I don't care about the latest GPT-5 drama or which model benchmarks better. What I care the most is when AI can see the full picture of how I actually work.

When Claude built MCP to access Gmail, Calendar, and Drive, I got excited. Finally, AI could understand my complete work context instead of getting fragments in isolated conversations.

But there's a catch: Claude can only READ my Google workspace. It can see client emails but can't draft responses. It can view my project spreadsheets but can't update them. It can access meeting notes but can't create new documents. In fact, ChatGPT and Gemini have these same problems as well.

It's like having a brilliant research assistant who's not allowed to write anything down.

The alternatives? Spend $200/month on Perplexity's Comet or wait hours for ChatGPT's agents to maybe work.

So I found an automation bridge that gives Claude (and now ChatGPT) full read-write access to Google Workspace. Now that 30-minute client update process takes 5 minutes, exactly like it should.

Here's what this automation can do:

  1. Create calendar event for focus time - Block focus time based on project deadlines

  2. Email intelligence - Find urgent threads, analyze patterns, create email drafts

  3. Meeting follow-up automation - Summarize meeting key points using Fathom, create calendar event follow-up and send documentation through emails

  4. Newsletter content system - Auto-label AI newsletter I subscribe to, summarize content, find new ideas to write, put it all on GDocs in a correct folder

  5. Client communication pipeline - Read client emails, check project status in GSheets, draft contextual responses in your gmail

Now, you might be wondering how to give Claude and ChatGPT write access to Google products, right?

That's where Zapier's MCP integration changes everything. MCP (Model Context Protocol) lets Claude/ChatGPT connect to external services through Zapier. When they analyze a client email and determines I need to update my project tracker, it triggers a Zapier workflow that actually updates the GSheet.

It's like giving AI hands to match its eyes - it can finally act on what it sees.

The good news is Zapier's free tier covers these work scenarios, though with limited monthly requests. Luckily, you can increase the limit by paying it all you want.


Note: I previously used Make.com and n8n for this kind of workflow and more complex automations, but Zapier handles 99% of use cases with much simpler setup. I'll explore those advanced options in future posts.


Before we deep dive into setup, let me show you exactly how these five workflows save me 10+ hours every week. Seeing the actual prompts and results will make the 10-minute setup feel like the best time investment you'll make this month.

In this example, I used Claude, but I will also show you how to implement Zapier with ChatGPT.

1. Focus time calendar blocking

The problem: Project deadlines sneak up on you because you don't have dedicated focus time blocked in your calendar, leading to last-minute scrambling and poor quality work.

What Claude does:

  • Reviews project deadlines from tracking sheets and calendar commitments

  • Calculates focus time needed for each deliverable based on complexity

  • Identifies optimal time blocks during your productive hours

  • Creates calendar events to protect deep work time before deadlines

Your prompt:

You are my AI business assistant for AI Maker newsletter and consulting business.

CONTEXT:

I write weekly newsletters (8 hours), manage consulting projects (8 hours), work on building my SaaS (10 hours). My productive hours are 9AM - 1PM weekdays. Current priority order: weekly newsletter, SaaS development, consulting projects.

TASK: Analyze my calendar and block appropriate focus time.

WORKFLOW:
1. Access Google Calendar for next 4 weeks
2. Calculate focus time needed weekly: Newsletter (8 hours), client deliverables (6 hours), SaaS work (10 hours), admin (2 hours)
3. Identify calendar gaps during my productive hours (9AM-1PM weekdays)
4. Create Google Calendar events: "FOCUS: [specific task]" 
   - Set as busy
   - Include task description in notes
   - Add 15-minute reminders

EXECUTE: Schedule all necessary focus time blocks with reasoning for timing choices.

Expected results:

  • 2-4 focused work blocks automatically scheduled per week

  • Calendar events titled "FOCUS: Newsletter Writing" or "FOCUS: Client Project X"

  • 15-minute reminders set for each block

  • No scheduling conflicts with existing meetings

2. Email intelligence system

The problem: Important email threads get buried in your inbox while urgent issues sit unnoticed, and you waste mental energy trying to remember all communication with different people.

What Claude does:

  • Scans inbox for urgent threads using deadline keywords and follow-up patterns

  • Analyzes communication history to understand each contact's preferred response style

  • Drafts contextually appropriate responses based on urgency level and relationship

  • Prioritizes emails requiring immediate attention vs. batch processing
